Presenter Instructions

Attention Presenters, both oral and poster.

The preferred method to make your presentation available to the conference staff would be uploading into the conference Indico website (https://indico.cern.ch/event/749923/). Just log into Indico, go to your registered abstract(s) and upload your presentation files, very easy. Make sure that the latest version of your files is uploaded at least 2 hours before your scheduled time to present. If your presentation is in a morning session, please have it uploaded by 8 am; if your presentation is in an afternoon session, it is recommended that you upload your materials by noon. That way, our team will be able to load it into the conference room computers. This is very critical, since you will not be able to upload your presentation on the spot or present from your own computer. This applies to all posters as well. Please upload an electronic version of your poster as described above, in pdf format if possible.

If you need assistance at the conference, the speaker ready room will be located at the Gallery A and B. The number of staff at the speaker ready room will be limited, therefore the preferred method is the direct upload by the author mentioned above to avoid crowding at speaker ready room. You have te option to be at your presentation room 15 minutes before the start of the session if you wish to check that your presentation runs smoothly.

Oral presentations

Presentation slides must be submitted in electronic form (PPT or PDF) to the conference IT desk at least 2 hours in advance of the scheduled session in the speaker ready room, Gallery AB. Please name files using the following format: Session Number_Speaker Family Name.pdf (or ppt). At this time, any PPT files containing animations should be tested in the speaker ready room to ensure they function properly. Morning plenaries should be submitted the day before if possible. Both 4:3 and 16:9 formats will be accommodated. Slides will be uploaded directly to Indico and transferred onto the conference computer network for presentation. Slides will not be accepted for upload in the meeting rooms, nor will speakers be allowed to present from their own equipment. If the designated speaker is not available to make the presentation, a knowledgeable co-author of the paper may present. The time limit for plenary talks is 25 minutes plus 5 minutes for questions. Invited, and contributed oral presentations are 15 minutes plus 5 minutes for questions. In addition, all presentation slide files will be posted on a password protected web page on Indico where they will be available for viewing and download by conference registrants for at least two years..

Poster presentations

Posters boards are in landscape orientation. The maximum poster size permitted is 4 feet high by 8 feet wide (1.2 m vertical x 2.4 m horizontal). Presenters must come prepared with printed material to post and ensure that the first author or a knowledgeable co-author is available to discuss the material during the poster session. Pins will be provided. In addition, poster authors must submit their posters in electronic form (PPT or PDF) to the conference IT desk in the speaker ready room, Gallery AB before their poster session. Please name files using the following format: Session Number_Speaker Family Name.pdf (or .ppt). The poster files will be posted on a password protected web page on Indico where they will be available for viewing and download by conference registrants for at least two years.

Publication of presented work in IEEE Transactions on Plasma Science

All authors of SOFE-2019 presentations, whether oral or poster, will have the opportunity to publish their work in a special issue of IEEE Transactions on Plasma Science (TPS), a peer-reviewed journal. Note that the work must have been presented at the conference by either the first author or a knowledgeable co-author in order to be eligible for publication in the special issue.
